Lubricant inquiry checklist: what to send for a quotation

Lubricant inquiry checklist: what to send for a quotation

A lubricant inquiry can start with the equipment or application, approximate quantity and destination. Add the grade, packaging and contact details if known; mark uncertain items as “to be confirmed” so the quotation can identify what still needs checking.

Which product details help identify the requirement?

The equipment application and required lubricant specification are the starting point for comparing products. A viscosity grade alone does not establish that two oils are interchangeable.

If available, include the equipment model, the specification in its manual, or the exact name of the oil currently used. Distinguish a required approval from a preferred brand. If the grade is unknown, describe the application rather than guessing a specification.

How should packaging and quantity be described?

A comparable quotation needs both the pack size and the quantity unit. “80 drums of 200L” is more specific than “80 units”, while an approximate volume is sufficient for an initial discussion.

Separate an initial trial order from expected repeat demand. For private label, mention the label language and preferred pack; artwork, production minimums and lead time still need confirmation.

  • Product or application; required grade if known
  • Pack size, number of packs and trial or repeat order
  • Existing brand or private-label preference

What destination and reply details are useful?

The destination country and, where known, city or port help define the delivery scope. A product-only price and a price including freight cover different costs and should not be compared as if they were the same.

Include a target delivery date and an email address or WhatsApp number. An early reply may ask for clarification; it is not necessarily a final quotation or a confirmed delivery date.

Can I use a simple inquiry template?

An inquiry template keeps the known details together without making unknown details a barrier to contact. Delete irrelevant lines or leave them marked “to be confirmed”.

Product / grade: to be confirmed
Required specification or approval: to be confirmed

Destination country / port:

What should you check when the quotation arrives?

Compare the reply with your original request line by line. Keep unanswered items on a written confirmation list before agreeing to purchase.

  • Does the quoted product match your requested grade, pack and quantity?
  • Which requested documents are available, and which details still need confirmation?
  • Are freight, the delivery location and the expected dispatch date stated clearly?

Questions about this topic

Can I inquire without knowing the grade?

Yes. Describe the equipment or application and share any available manual or current product reference. The required grade can then be clarified before a product is offered.

Do I need to know the exact order quantity?

An approximate quantity is enough to start. The final price, packaging and MOQ need to be confirmed for the quantity actually ordered.

Does an inquiry commit me to an order?

An inquiry requests information or a quotation. Product details and commercial terms still need agreement before an order is placed.
